CrestBid and QuickBooks Online
CrestBid connects a workspace to one QuickBooks Online company, so your office doesn't retype quotes, invoices and pay applications.
What the integration does
- Sends to QuickBooks: customers (from your CrestBid companies), estimates (from quotes), invoices (from accepted quotes), and invoices or credit memos for approved pay applications, including retainage-release invoices. If you don't pick your own item, CrestBid can create one item named "CrestBid Services".
- Reads from QuickBooks: customers, items, sales tax settings and accounts (to set up the connection and match records), the status of estimates and the balance and payments of invoices it sent, and a profit-and-loss report for job costs.
- Stays up to date: QuickBooks tells CrestBid about changes through Intuit webhooks, and CrestBid also checks for changes with QuickBooks change data capture.
Who can connect
Only company admins in CrestBid can connect, set up or disconnect QuickBooks. The admin signs in with their own Intuit account and picks the QuickBooks company to connect.
How to connect
- In CrestBid, go to Settings → Integrations → QuickBooks Online.
- Click Connect QuickBooks.
- Sign in to Intuit and choose your QuickBooks company.
- Back in CrestBid, open the Integration Center and finish setup before turning on sync.
How to disconnect
Go to Settings → Integrations → QuickBooks Online and click Disconnect. CrestBid revokes its access with Intuit and deletes the QuickBooks tokens it stored. Nothing more is sent to QuickBooks.
Estimates, invoices and customers already in QuickBooks stay there. CrestBid keeps the links between its records and the QuickBooks records (their QuickBooks IDs) until your CrestBid account is closed.
If access expires
QuickBooks asks you to sign in again about every 100 days, and access ends if it is revoked in QuickBooks. When that happens CrestBid stops sending and shows a Reconnect QuickBooks prompt in Settings → Integrations. An admin reconnects in a few clicks.
How CrestBid uses your QuickBooks data
CrestBid asks Intuit only for the QuickBooks accounting permission (com.intuit.quickbooks.accounting). It does not ask for payments, payroll or banking access. QuickBooks sign-in tokens are encrypted at rest.
We use your QuickBooks data only to run the integration for your workspace. We don't sell it, and we don't use it to train AI models.
