The commercial bid-day checklist for estimating teams
A missed addendum or a late submission can sink weeks of work. A complete bid-day checklist for commercial estimating teams, from the days before through submission.
Bid day is where a month of work either lands or unravels. A missed addendum, a math slip, a portal that closes at 2:00 sharp, any one of them can sink a bid you spent weeks on. The teams that stay calm on bid day are not lucky. They run a checklist.
Days before bid day
Confirm you have every addendum, and that your estimate reflects the latest one. Verify the exact due date, time, and time zone, and how the bid must be submitted. Confirm bond and insurance requirements are met and documents are in hand. Check that your scope covers everything the documents ask for, with no gaps and no accidental overlaps. Log any outstanding RFIs and confirm you have the answers you need. Set your follow-up reminder now.
The morning of bid day
Do a final review of the latest addendum one more time. Confirm your quantities and pricing are final, and that alternates are priced and clearly labeled. Double-check your total for transposition and math errors. Confirm the proposal is on the correct, current form and every required field is complete. Verify every required attachment is included.
The submission
Submit with time to spare. Portals get slow and inboxes bounce as deadlines close. Confirm the submission went through, and save the confirmation. Note who submitted it and when.
Right after you submit
Set the follow-up on the bid now, while it is fresh. Record the result stage as submitted so your pipeline reflects reality. Capture any notes for the post-mortem, whether you win or lose.
Keep the whole thing in one place
When every addendum, document, date, and follow-up sits on the bid itself, running this checklist takes minutes instead of a scramble across inboxes and folders.
